Executive Assistant

The Executive Assistant will provide high-level administrative support to the CEO and Operations Director, in addition to, as needed, support to management staff. Exercises independent judgement in the resolution of administrative problems.

Essential Duties and Responsibilities: The essential functions include, but are not limited to the following:

  • Manages CEO schedule and ensures confirmation of upcoming meetings/events.
  • Ensures customer and internal satisfaction through ongoing communication and relationship management; resolves any issues that may arise.
  • Maintains professional and affective communication within management.
  • Provides high-level administrative support and assistance
  • Interprets and communicates operating policies.
  • Maintains comprehensive and accurate records
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodations for management.
  • Schedules and attends meetings on behalf of Sr Management, note taking and recording minutes.
  • Receives incoming communication or memos on behalf of staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including ordering supplies, office equipment and performing basic budget accounting operations.
  • Manages and processes internal payroll.

Other

  • May train and supervise office administrative staff.
  • Manage and/or assist in special events planning.
  • Performs other duties or special projects as assigned.

Qualifications

Knowledge, Skills and Abilities:

Must be able to demonstrate effectively and proficiently the following:

  • Organizational skills and attention to detail.
  • Analytical and problem-solving skills.
  • Verbal and written communication skills.
  • Time management skills with a proven ability to meet deadlines.
  • Detail and follow up oriented.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software and ability to learn new or updated software.

Education and Experience:

Required

  • High School Diploma equivalent and combination of education and experience
  • At least Four plus years of related experience
  • Payroll experience and requirement of payroll compliance
  • Projecting a positive image in representing the Company to clients and the community
  • Exemplary communication and technical presentation skills
  • Superior listening skills
  • Self-starter with ability to meet deadlines in a fast-paced environment

Preferred

  • Bachelor's degree in Business Administration or related field
  • Three plus years' experience in processing and managing payroll

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
